We are seeking a Proposal Coordinator who will assist team members with various tasks related to proposal development, production, and delivery. S/he works for the department Manager of Proposals, supports the Proposal Writers, and acts as the chief operations logistician to ensure the company's process is adhered to.
•Manage all supplies related to production – thumb drives, ink toners, paper quantity / size, labels, binders, boxes, etc.
•Research, recommend, and enforce submission logistics for each departmental proposal submission, whether digital or paper
•Identify out-of-date boilerplate language within Qvidian and flag for Proposal Manager / Proposal Writer
•Manage Freedom of Information Act (FOIA) requests for all departmental bids when necessary
•Department team guru and subject matter expert on departmental technology particularly Qvidian, Microsoft Word, Adobe Acrobat, Visio, Excel, and MS Project
•In partnership with Proposal Manager, manage and distribute RFP open /bid /no-bid lists
•Assist with writing, editing, color team reviews, and in general, support the proposal development process, as needed, for any on-going major projects
•Follow all proposal department guidelines and procedures
•Must have an Associate degree (Bachelor's preferred) in Marketing, Business, Communications, Public Relations, Journalism, English, or related field
•Must have three to five years' experience in sales support, proposal writing, technical writing, or marketing communications
•Must have prior knowledge of the proposal process
•Must be able to give clear, concise directions while organizing large volumes of information
•Exceptional time-management skills to ensure product delivery within defined time constraints
•Must be able to function as a key member of a team in a self-directed work team environment; take on responsibility for projects start-to-finish; and follow-up on all details of any given project
•Strong writing and editing skills
•Excellent problem solving skills
•Good strategic, analytical, and critical thinking skills
•Solid interpersonal and communication skills to interact with internal and external team members, contractors, and vendor representatives
•Must comfortably speak with executive and senior level management teams
•Must convey a professional image and deal confidently with technical problems
•Must have excellent computer skills (MS Office Suite, SharePoint, Qvidian, Adobe, MS Visio, etc.)
